What does the 'Phone Number Formatter' action do?

The Phone Number Formatter action within the Data Formatter App by Integration Glue allows you to standardize and format phone numbers into a consistent format. This action is useful for ensuring phone numbers across HubSpot records are uniformly structured, which can be important for accurate reporting, integrations, and communications.

The action automatically adjusts the formatting of a phone number based on a specified format or country code, ensuring it aligns with a global or regional standard (e.g., E.164 format). This can help streamline your data for easier management and reporting, preventing issues like inconsistent formats or invalid phone numbers.

This action is particularly useful when:

  • You need to ensure consistency across multiple phone numbers in your CRM.
  • You want to prepare phone numbers for external systems or integrations that require a specific format.
  • You are handling data from multiple regions and need to account for different phone number conventions.

  • Property Containing Phone Number to Format is the property that holds the phone number you want to format. It’s the field from which the app will pull the phone number data and apply the formatting rules to it.
  • Country Property refers to a property in HubSpot that stores the country information associated with the phone number (e.g., a property that tracks the country of the contact). The country code is important for formatting phone numbers correctly according to regional rules, as different countries have different dialing formats. This field helps the app identify the correct country-specific formatting for the phone number.
  • Default Country If the Country property is empty or not set for a record, the default country field allows you to specify a fallback country. This ensures that the phone number is formatted according to a predefined country standard in the absence of specific country data.

Step 1: Create a New Workflow

  • Go to the Automation tab in your HubSpot account and click on Workflows.
  • Click on the Create workflow button.
  • Choose the workflow type based on your use case (e.g., Contact-based, Deal-based, or Custom Object-based).
  • Set your trigger for the workflow (e.g., when a contact is created or updated, or when a deal reaches a certain stage).

Step 2: Add the 'Phone Number Formatter' Action

  • After setting up your workflow triggers, click on the + button to add an action.
  • In the action sidebar, search for Phone Number Formatter.
  • Select the Phone Number Formatter action from the available list.
  • Click Save to add this action to your workflow.

Step 3: Configure the Phone Number Formatter Action

  • Property containing phone number to format:
Select the property where the phone number is stored (e.g., Contact Phone Number property or any custom property for phone numbers). This is the phone number that will be formatted by the action.

  • Country property (Optional):
If you want to base the phone number formatting on the country, select the HubSpot property that contains the country data (e.g., Country, Region, or a custom property). This is used to ensure the phone number is formatted according to regional rules.

  • Default country (Optional):
If the country property is empty, select a default country for formatting the phone number. This fallback ensures that the phone number is formatted even if no country information is available.

Step 4: Save the Formatted Phone Number

  • Property to save formatted phone number:
Select the property where you want the formatted phone number to be saved. You can either save it to a number property or a text property, depending on your preference for storing the formatted value.

  • Insert commas for every thousand (Optional):
This is typically used for formatting numbers, but for phone numbers, this may not be relevant. You can leave this option unchecked, as phone numbers usually don’t require thousand separators.

Step 5: Review and Activate

  • After setting up the Phone Number Formatter, review all your selections.
  • Make sure everything is set up correctly, then click Review and Publish to activate your workflow.
  • Once the workflow is live, it will automatically format phone numbers based on the selected configuration.

Step 6: Test the Workflow

  • Trigger the workflow by performing an action (e.g., create a new contact or update a contact’s phone number).
  • Check the phone number property to ensure that the number is formatted according to the selected country and formatting rules.
