What does the 'PDF to Image' action do?

The 'PDF to Image' action within the Workflow Media Manager Actions app by Integration Glue allows you to convert PDF files into image formats such as PNG or JPEG. This action is useful when you need to display specific pages of a PDF document as images, especially in cases where PDFs cannot be easily viewed or embedded in other systems.

The action automatically extracts the page(s) from the PDF and converts them into the specified image format. You can choose which page to convert, and the resulting image can be used for email attachments, web content, or integrations with external systems.

This action is particularly useful when:

  • You need to convert PDF documents into images for easier display on websites, emails, or within applications that don't support PDF viewing.
  • You want to extract specific pages from a PDF for use in other workflows or systems.
  • You are optimizing user experience by providing image versions of PDFs, which are often more universally accessible and easier to interact with than full documents.

  • Folder ID to resized image output the unique ID of the folder where you want to save the converted image. This can be a folder within HubSpot or an external storage system
  • Source image URL property The URL of the PDF file that you want to convert to an image. This can be sourced from a property that contains the PDF URL
  • Output property for resized image link The property where the URL of the generated image will be saved. This allows you to easily reference and use the image in other actions or workflows.
  • Output file name The desired name for the generated image file. This can include dynamic content from the workflow or be set as a static name
  • File visibility of the saved image Controls who can access the generated image
  • Output format of the image Defines the image format you want the PDF to be converted into, such as PNG or JPEG
  • Image DPI (default is 150) The resolution of the image in dots per inch (DPI). Higher DPI values mean higher image quality and larger file sizes. 150 DPI is the default, but it can be adjusted to suit your needs (e.g., 72 DPI for web use, 300 DPI for high-quality prints)

 

Step 1: Access the Workflow

  • Navigate to Workflows in your HubSpot account.
  • Select the workflow you wish to edit or create a new one.

Step 2: Add the 'PDF to Image' Action

  • In the workflow editor, click the "+" button where you want to add the action.
  • From the action options, search for "PDF to Image".
  • Select it to add it to your workflow.

Step 3: Configure the Action

Folder ID for Resized Image Output

  • Description: Choose or specify the folder where you want the converted image to be saved.
  • Setup: Enter the Folder ID from your HubSpot files or a specified external location. This will determine where the image is stored after conversion.

Source Image URL Property

  • Description: Define the URL of the PDF you want to convert.
  • Setup: Choose the HubSpot property containing the PDF's URL. This is where the workflow will pull the source PDF from.

Output Property for Resized Image Link

  • Description: The HubSpot property where the generated image's URL will be saved.
  • Setup: Select a property to store the output link. This allows you to use the image later in the workflow or elsewhere.

Output File Name

  • Description: Set a name for the image file.
  • Setup: Enter a static file name or dynamically reference data (e.g., use contact properties or date stamps) to name the image file.

File Visibility of the Saved Image

  • Description: Choose whether the image will be visible to everyone or just internal users.
  • Setup: Select either "Public" or "Private" depending on your needs.

Output Format of the Image

  • Description: Define the image format you want after conversion (e.g., PNG or JPEG).
  • Setup: Choose the appropriate format from the options provided.

Image DPI

  • Description: Set the resolution of the generated image.
  • Setup: By default, the DPI is set to 150. You can adjust it based on your quality needs (e.g., 72 DPI for web, 300 DPI for print-quality images).

Step 4: Save and Test

  • After configuring the action, click 'Save' to store your settings.
  • Test the workflow by triggering it with a test record to ensure that the PDF is correctly converted into an image, and the properties are populated as expected.

Step 5: Activate the Workflow

  • Once you've tested the workflow and confirmed everything works as intended, activate it to run automatically for enrolled records.
