What does the 'Create via record ID' action do?

The 'Create Associations via Record ID' action from the Workflow Associations Manager App by Integration Glue allows you to dynamically associate HubSpot records using their unique Record IDs directly within a HubSpot workflow. This action enables you to link any two objects, such as contacts, companies, deals, tickets, or custom objects, ensuring your CRM data is relational and interconnected.

By specifying the Record IDs of the objects you want to associate, the app establishes the desired relationship automatically. The action can pull these IDs from properties or tokens, making it highly adaptable for workflows that require dynamic or conditional associations.

This action is particularly useful for automating data relationships, such as linking deals to companies, associating contacts with tickets, or connecting custom objects to standard CRM records, without the need for manual intervention.

Here’s a step-by-step guide on how to set up the "Create Associations via Record ID" action in HubSpot Workflows using the Workflow Associations Manager app by Integration Glue:

Step 1: Create a New Workflow

  1. In your HubSpot account, go to the Automation tab and select Workflows.
  2. Click on the Create workflow button.
  3. Choose a workflow type (e.g., Contact-based, Deal-based, Company-based, or Custom Object-based) depending on your use case.
  4. Set your workflow’s trigger criteria (e.g., when a deal is created, when a contact reaches a certain lifecycle stage, etc.).

Step 2: Add the "Create Associations via Record ID" Action

  1. After creating your custom properties and selecting your triggers, click the + button to add an action.
  2. In the action sidebar drop-down, scroll down and look for the "Workflow Associations Manager App".
  3. A list of actions will appear. Select the "Create Associations via Record ID" action.
  4. Click Save to add the action to your workflow.

Step 3: Configure the Action

  1. Associate to Object:

    • Choose the HubSpot object type that you want to associate the enrolled record with (e.g., Contact, Company, Deal, etc.).
    • Example: If you want to associate a deal with a company, select Company.
  2. Association Labels:

    • Define the label(s) for the relationship between the two objects.
    • Example: You might label the relationship as "Primary Contact" or "Influencer" depending on your business needs.
  3. Keep Existing Association Labels on Enrolled Record:

    • Choose whether to keep the existing labels on the enrolled record.
    • Yes: Any existing association labels will remain.
    • No: Existing labels might be replaced with the new labels specified in the action.
  4. Enrolled Record Property That Contains Target Record ID:

    • Select the property that holds the Record ID of the target object you want to associate with the enrolled record.
    • Example: If the enrolled record is a deal and you want to associate it with a company, the deal record might have a custom property called "Associated Company ID" containing the company’s Record ID.

Step 4: Review and Activate

  1. After configuring the action, review all the settings to ensure everything is set up correctly.
  2. Save the workflow and ensure all other actions in your workflow are properly configured.
  3. Once satisfied with your workflow, click Review and Publish to activate it.

Step 5: Test the Workflow

  1. Once the workflow is live, test it by triggering the action (e.g., create a deal or contact that meets your criteria).
  2. Verify that the association has been created between the enrolled record and the target record as expected.
  3. Check the associations on the enrolled record to confirm the relationship was established correctly.

Step 6: Use the Associations for Further Actions

  1. You can use the created associations in subsequent workflow actions (e.g., triggering follow-up emails, setting reminders, or generating reports based on the associations).
  2. The associations can also be referenced in HubSpot dashboards or reports for easy tracking and reporting of object relationships.
