What does the 'Clone Activities' action do?

The 'Clone Activities' action from the Workflow Clone, Merge & Delete App by Integration Glue allows you to duplicate activities (such as tasks, notes, emails, meetings, or calls) between HubSpot records within a workflow. This action enables you to automatically copy activity data from one record to another, ensuring that important tasks and communications are consistently carried over to the relevant records without requiring manual intervention.

By specifying the activity types to be cloned, the app copies the desired activity from the source record to the target record, allowing for efficient tracking and management of related activities. This action is highly adaptable for workflows that involve multiple records or require activity synchronization across different objects in the CRM.

This action is particularly useful for scenarios such as transferring tasks or calls from one contact to another, duplicating meeting notes for related deals, or syncing emails between contacts and companies, ensuring that the relevant information is available across records, all without the need for manual duplication of activities.

  • Destination Record ID refers to the HubSpot record where the activities will be cloned to. This field specifies the target record (such as a contact, company, deal, or ticket) to which the activities from another record will be copied. You’ll input the Record ID (unique identifier) of the destination record for cloning the activities.
  • Association Activity Types to be Cloned refers to the specific types of activities (e.g., calls, emails, tasks, meetings, notes) that you want to clone from the source record to the destination record. By selecting activity types, you control which activities are cloned. For example, you can choose to clone only emails or tasks, or you can select all available activity types, depending on your needs.
  • Days of Activity Associations to Clone (Default 1 Day) determines the time range of activities that will be cloned. By default, the app will clone activities that are associated with the record within the last 1 day. However, you can adjust this timeframe to specify a broader or narrower range, such as cloning activities from the past 7 days or 30 days. This setting helps you filter activities based on their recency, ensuring that only the relevant activities are cloned.

 

Here’s a step-by-step guide to set up the 'Clone Activities' action in a HubSpot workflow using the Clone, Merge & Delete App by Integration Glue:

Step 1: Create a New Workflow

  1. Log in to your HubSpot account.
  2. Navigate to the Automation tab in the main menu and select Workflows.
  3. Click the Create workflow button.
  4. Choose the workflow type (e.g., Contact-based, Deal-based, Company-based, or Custom Object-based), depending on your use case.
  5. Set the appropriate trigger for your workflow (e.g., when a contact reaches a specific lifecycle stage, when a deal is created, etc.).

Step 2: Add the 'Clone Activities' Action

  1. Once the trigger is set, click on the + button to add an action.
  2. In the action sidebar, search for Clone, Merge & Delete App by Integration Glue.
  3. From the list of actions, select the 'Clone Activities' action.
  4. Click Save to add the action to your workflow.

Step 3: Configure the Action

Destination Record ID:

  1. In the configuration screen, select the Destination Record ID. This is the HubSpot record (e.g., Contact, Deal, Ticket) where you want to clone the activities.
  2. You can either manually enter the Record ID or pull it dynamically using a property or token from a previous step in the workflow.

Association Activity Types to Be Cloned:

  1. Choose the types of activities you want to clone. These could include:
    • Emails
    • Calls
    • Tasks
    • Meetings
    • Notes
  2. Select one or more activity types that you want to clone from the source record to the destination.

Days of Activity Associations to Clone (Default: 1 Day):

  1. Choose the time range of activities to be cloned from the source record to the destination record. The default is 1 day, but you can adjust this to any timeframe you require (e.g., 7 days, 30 days).
  2. The system will only clone activities within the chosen timeframe, ensuring the data remains relevant and up-to-date.

Step 4: Review the Configuration

  1. Double-check all settings to ensure they are configured correctly.
  2. Ensure that the destination record and the selected activity types are aligned with your intended workflow.

Step 5: Activate the Workflow

  1. Once you are satisfied with the configuration, click Review and then Publish to activate the workflow.
  2. The workflow will now automatically clone activities from source records to the destination records based on the conditions you've set.

Step 6: Test the Workflow

  1. Test the workflow by triggering it manually or by having a record meet the trigger criteria.
  2. Verify that the activities are cloned correctly to the destination record.
  3. Check the records to ensure the activities have been copied over as expected.

Step 7: Monitor and Adjust if Needed

  1. Monitor the performance of your workflow over time.
  2. If necessary, return to the workflow to make adjustments based on your observations (e.g., changing the types of activities to clone or adjusting the time range).
