What does the 'Associated activities from one record to enrolled record' action do?

Allows you to create associations between a HubSpot record enrolled into a workflow to activity records on another record, such as emails, calls, meetings, tasks, notes, or Communications (SMS)

The Associate Activities from One Record to Enrolled Record action, available in the Workflow Associations Manager App by Integration Glue, lets you automatically associate historical activities (emails, calls, meetings, tasks, notes, or SMS) from one HubSpot record to another — in this case, from a contact to a newly created lead record (e.g., a deal or custom object).

This action is ideal for enriching new lead records with the full history of prior engagement logged on the contact, ensuring the sales team has all the context they need to pick up the conversation without missing a beat.


Use Case Example: New Lead Created from a Contact

Your team qualifies a contact as a lead and creates a new deal or custom object record to represent the sales opportunity. This new lead doesn’t yet have any activities on its timeline — but the associated contact has important historical interactions (emails, meetings, calls, etc.).

With this action, you can automatically associate relevant past activities from the contact to the newly created lead record.

Set this to Contact – we’re pulling activities from the person who initiated or influenced the lead creation.

Activities to Copy

Choose one or more types of activity to associate:

  • Email

  • Call

  • Meeting

  • (Others like Task, Note, SMS as needed)

Association Label Filter (Optional)

Filter which contact(s) to pull from using their association label.

  • Example: Use “Primary” to only pull from the primary associated contact.

  • Leave blank to include all associated contacts.

Number of Object Records to Pull

Enter 1 to limit activity pulling to just one (e.g., the most relevant or primary contact).

Object Record ID to Pull Activities From (Optional)

Leave this blank to use associated records. Only use this if pulling from a known contact ID via property or token.

Credit usage Breakdown

This action base credits of 5, with a calculated extra credits from the types and number of activities associated to the enrolled record.  

  • Base Credits: 5
  • Credit per activity type: 1
  • Credit per 100 of each activity type: 1

Example

Scenario I have created a Contact-based workflow to pull associated activities from the most recently updated Deal. Using the Deal Record ID (via HubSpot workflow tokens), the system identifies activities associated with the Deal that are not yet associated with the Contact.

The following activities were found on the Deal which need to be associated to the Contact:

  • 110 Notes
  • 95 Tasks
  • 200 Emails
  • 0 Meetings 
  • 0 Calls 
  • 199 Communications/SMS

The credit charge for this action will be a total of 13 credits

  • 5 base credits
  • 4 credits as there are 4 activates types found that will be associated.
  • 4 credits for the number of associations
    • 1 for Notes                                        (1 full hundred)
    • 0 for tasks                                        (Did not reach 100 threshold)
    • 2 for Emails                                      (2 full hundreds)
    • 0 for meetings                                (Did not reach 100 threshold)
    • 0 for meetings                                (Did not reach 100 threshold)
    • 1 for Communications/SMS     (1 full hundred)
