Updating Your Workflows for the 30-Record Association Limit

To ensure maximum platform stability and eliminate integration delays, we are updating the "Associate record by ID" action on Monday, July 13th (July 12th in some time zones).

This article explains why we are introducing a 30-record limit per action and how to easily transition high-volume workflows to our new dedicated high-volume action.

Why is this limit being introduced?

HubSpot enforces a strict 25-second processing limitation for workflow actions. When an action attempts to process too many records at once (via large, semicolon-separated lists), it can push past this boundary, resulting in timeouts and loop errors.

By capping the standard "Associate record by ID" action at 30 records, we have "hardened" the application. Instead of getting stuck, the app will now fail gracefully, protecting the integrity of your remaining workflow steps.

How to Determine If You Need to Take Action

✅ No Action Required

If your workflows are set up to associate a single record at a time (e.g., associating a newly created contact with a company), your workflows are entirely unaffected.

⚠️ Action Required

If you have advanced workflows that use a semicolon-separated list to pass more than 30 record IDs into a single "Associate record by ID" action, you must update these workflows to prevent them from hitting the new limit.

Step-by-Step: How to Update High-Volume Workflows

If you have workflows processing batches of more than 30 records, follow these steps before July 13th:

  1. Identify affected workflows: Review your active workflows in HubSpot utilizing the Integration Glue "Associate record by ID" action.
  2. Check list sizes: Check if the action relies on data inputs that frequently aggregate more than 30 record IDs.
  3. Swap the action: For any high-volume workflow, replace the standard action with our newly released [Insert Exact Name of New High-Volume Action]. This action is specifically engineered to handle larger batches smoothly without triggering HubSpot timeouts.
  4. Test and Turn On: Re-verify your workflow logic and re-publish the workflow.
