What does the Send Docusign Template (Docusign Mapping) action do?

New action for DocuSign: Send Docusign Template (Docusign Mapping)

This new action allows a different way of mapping Docusign templates for labels and values (as they currently only support text fields). This way supports checkboxes, dropdowns and radio selects allowing numbers, dates or any custom property to be taken from HubSpot. In the template under the data label you can put the HubSpot internal property name so it can pull that data from HubSpot and bring it into Docusign.

Configure your DocuSign Template

  1. Follow steps 1-13 Here 

    * Company, Title, Text, Checkbox, Dropdown, Radio, Note, Approve and Decline Standard Fields are not currently supported. Support for Company, Title and Text Standard Fields is on our current roadmap and is expected to be implemented by May 2024.

    Custom Field (custom field, value)

    Custom versions of standard fields created in DocuSign can be saved and reused on future documents that you send. 

    Note the above instructions were written in April 2024, DocuSign regularly changes its user interface please refer to the How do I create a template? article within the DocuSign Support Centre for the latest DocuSign documentation.

    This integration of DocuSign with HubSpot allows you to use DocuSign Templates that can be triggered from HubSpot Workflows. This feature enables an automatic population of Custom text fields within a DocuSign Template from HubSpot properties.

    The integration can support:

    • Up to 5 recipients

    For more advanced template merging or to include features such as data from associated records, dynamic images, and dynamic links, we recommend using DocMergy to dynamically generate your documents from your HubSpot CRM Data. Once you have created your documents using DocMergy, you can then use the non-templated DocuSign Workflow Actions to send them to DocuSign for eSign. This way, you can automate your eSign process and streamline your workflow.

    Mappings that are available for HubSpot Property -> Docusign Template Field

    • Single Line Text -> Text Field
    • Multi line Text -> Text Field 
    • Number -> Number Field 
    • Single Checkbox -> Single Checkbox Field
    • Multi Checkbox -> Group Checkbox Field
    • Dropdown -> Group Checkbox Field
    • Dropdown -> Select Field 
    • Dropdown -> Radio Field 
    • Date -> Date Picker Field 
    • Date Time -> Date Picker Field 
      • Docusign does not support date time pickers (if date time field is selected time will be set to midnight UTC)

    Create DocuSign Template (Mapping) HubSpot Workflow

    1. Follow steps under Create DocuSign Template HubSpot Workflow Here expect for Custom Field Configuration

    3. Drag and drop a docusign field on to your template 
    4. Update the data label to be the same as the HubSpot internal property name that you would like to map to.
      1. Radio fields do not contain a data label, use group label instead 
    5. If you are using a Docusign dropdown field, the option values must be equal to their HubSpot counterpart as seen here

      You can only set the data label for one of the checkboxes in the group. The other checkbox data labels should not be changed as shown in the screenshots below
