What does the 'Move Folder/File by Name' action do?

Allows you to move Folders or Files by name to a new folder in Box within a HubSpot workflow.

The Move Folder/File by Name action by Integration Glue allows you to relocate files or folders within Box based on their display name rather than a specific numerical ID. This is ideal for dynamic workflows where you need to move a folder created earlier in a process (e.g., moving a "Drafts" folder to an "Archived" directory once a contract is signed).

Quick Reference: Credits & Logic

  • Credit Usage: Each successful move consumes 1 credit.

  • Errors: If the item cannot be found by name or the destination ID is invalid, no credits are charged.

  • Search Scope: By default, the app searches for file/s or folder/s across your Box account. You can use the "Ancestor Folder ID" to restrict the search to a specific directory for better accuracy.

  • Authorised Box User : Select the connected Box account with permissions to move items. This user must have access to both the source location and the destination.

  • Select Folder or File to move : Specify whether you are looking for a Folder or a File.

  • Name of the Folder or File to Move : Enter the exact name of the item.

    • Pro Tip: Use HubSpot property tokens (e.g., [Deal Name]) to dynamically find folders named after specific records.

  • Require an exact match of the name? (Optional): Select True to only move items that match the provided name exactly. Select False to allow for partial matches.

  • Destination Folder ID : Enter the numerical ID of the Box folder where the item should be moved.

  • Ancestor Folder ID (Optional): Enter a Box Folder ID to limit the search. The action will only look for the matching name inside this specific folder.

  • Max number of files/folders to move (Optional): Enter a numerical value if you wish to move multiple items that match the name criteria in a single action.

How to Set Up the 'Move Folder/File by Name' Action

Step 1: Create a New Workflow

  1. In HubSpot, navigate to Automation > Workflows.

  2. Choose your object type and set your Enrollment Triggers.

Step 2: Add the Action

  1. Click the + icon to add a new action.

  2. In the sidebar, scroll to the Apps section and select Move Folder/File by Name.

Step 3: Configure Move Logic

  1. Select the Authorised User: Choose the appropriate connected Box account.

  2. Define the Target: Choose the item type (File/Folder) and enter the name (static or token-based).

  3. Set the Destination: Paste the Destination Folder ID.

  4. Optional Filters: Add an Ancestor folder ID to narrow the search or set a Max number to move multiple items at once. 

  5. Click Save.

Step 4: Review and Publish

  1. Confirm that the Authorised User has "Editor" permissions in both the source and target folders.

  2. Review your workflow settings and click Turn on.

Important Considerations

  • Duplicate Names: If multiple files have the exact same name and the "Max number" is set to 1, the action will move the first one it finds. Using an Ancestor Folder ID is the best way to ensure accuracy.

  • Finding IDs: The Destination folder ID is the numerical string at the end of the Box URL (e.g., box.com/folder/123456789).

  • Batch Moving: Use the "Max number" field carefully. If left empty, the action will typically default to moving the first matching item found.
